As a video production agency director, some of my team members come across the globe and work for me remotely. Even though my team works remotely, we still ensure effective communication and collaboration within. There are software and apps you can use to collaborate with your team such as Slack, Skype, MS Teams, Zoom, and I saw some uses Discord. Personally, we use Slack but you can choose any platform that is the most convenient for you.
Another key to successful remote collaboration is to set clear expectations for your project. You need to define the scope, goals, deliverables, and roles of your project, and communicate them to your team and stakeholders. You also need to establish the norms and rules for your collaboration, such as how often you will meet, how you will report your status, how you will handle changes and issues, and how you will give and receive feedback. By setting clear expectations, you can avoid misunderstandings, conflicts, and delays in your project.
Communication is essential for any project, but especially for remote ones. You need to communicate regularly with your team and stakeholders to keep them updated, informed, and engaged. You need to use the appropriate channel and tone for your communication, depending on the purpose, urgency, and audience. For example, you can use email for formal and detailed messages, chat for quick and casual conversations, video call for meetings and presentations, and phone for urgent and sensitive matters. You also need to be respectful, courteous, and professional in your communication, and avoid jargon, slang, and sarcasm.

It is important to communicate more often when working remotely, and have established channels of communication apart from email. Greater levels of trust and transparency are important when working remotely but can backfire if mishandled. I once worked for a company that had the equivalent of spyware on all employees’ laptops on the days we worked remotely. Employees were accused of not working due to a malfunction in the spyware. It quickly killed morale and even productivity.

Reminder to be professional, respectful, and understanding.

You need to plan your tasks, schedule your meetings, track your progress, and share your results in a timely and organized manner. You also need to respect the time zones, availability, and preferences of your team and stakeholders, and avoid scheduling conflicts, interruptions, and distractions. You also need to be flexible, adaptable, and responsive to changes and challenges in your project.

In this project review, everyone involved should provide feedback on the process and how it impacted project success. A few areas to focus on could include: -Did we have the right frequency of meetings? Why or why not? -Was it easy to communicate? If not, what would improve communication? -What tools helped us to communicate? Should we incorporate other tools, like Slack? -Was project management effective? Why or why not? -Would a project management tool help us to be more effective next time?
