Company Description

You would be part of the legal department and providing legal advisory for the whole Eurowag group which currently consists of more than 50 entities.

We are looking for a Group Office Manager to ensure that our operations and business transactions follow all relevant legal and internal rules. You will also review employees’ work and provide advice on compliance. To succeed in this role, you should be a reliable professional who is not afraid to speak their mind and stand by their decisions. You should be familiar with risk management and our industry’s standards. If you also have a sharp business acumen, we’d like to meet you. Your goal will be to ensure we operate in a legal and ethical manner while meeting our business objectives.

Job Description

Group Office Manager is responsible for overseeing the management and operations of the company's offices across several countries. This role involves coordinating office activities, facilities management, administrative support, and ensuring a productive and efficient work environment for employees. Group Office Manager plays a key role in driving operational excellence, supporting business operations, and promoting a positive workplace culture across multiple locations.

  • Office Operations

Manage the day-to-day operations of the company's offices across multiple countries, including facilities management, office supplies procurement, and vendor management. Coordinate office logistics, such as space planning, office layouts, seating arrangements including parking lots, and equipment provisioning, to optimize workspace utilization and support business needs. Develop and implement office policies, procedures, and guidelines to ensure consistency and compliance across all office locations.

  • Facilities Management

Oversee facilities maintenance, repairs, and renovations for office spaces, ensuring a safe, clean, and functional work environment for employees. Maintain relationships with landlords, property managers, and service providers to address maintenance issues, security concerns, and facility-related emergencies. Conduct regular inspections of office facilities to identify maintenance needs, safety hazards, and opportunities for improvement.

  • Budget Management

Develop and manage budgets for office operations, facilities maintenance, and administrative expenses, working closely with finance and accounting teams to ensure alignment with business objectives. Monitor office-related expenses, track spending trends, and identify opportunities to reduce costs and improve cost efficiency. Implement cost-saving initiatives, such as negotiating vendor contracts, optimizing office space utilization, and implementing energy-saving measures.

  • Employee Engagement and Workplace Culture

Foster a positive workplace culture and employee engagement across all office locations, promoting collaboration, teamwork, and employee well-being. Organize and coordinate employee events, team-building activities, and social gatherings to enhance employee morale and camaraderie. Serve as a point of contact for employee inquiries, concerns, and feedback related to office facilities, amenities, and workplace environment.

  • Administrative Support

Supervise administrative staff, including receptionists and mailroom. Maintain office records, files, and databases, ensuring accuracy, confidentiality, and compliance with data protection regulations. Manage the issuance, distribution, and tracking of entry cards for employees, contractors, and visitors across all office locations. Oversee the management and allocation of parking spaces for employees, visitors, and company vehicles. Develop and implement parking policies, procedures, and guidelines to optimize parking space utilization and ensure compliance with regulations. Monitor printing activities, usage patterns, and costs, implementing measures to optimize printer efficiency and reduce printing-related expenses. Coordinate the operations of the company restaurant or cafeteria, including menu planning, food service, and facility maintenance.

  • Team Leadership and Development

Lead and mentor a team of office managers technicians, and support staff, fostering a culture of collaboration, accountability, and continuous improvement. Provide guidance, training, and professional development opportunities to enhance team performance and capabilities. Promote a positive work environment that values diversity, equity, and inclusion.

Qualifications

  • Proven experience in office management, facilities management, or related roles, with experience managing office operations across multiple locations preferred.
  • Strong leadership, communication, and interpersonal skills.
  • Excellent organizational and problem-solving abilities.
  • Ability to work effectively in a cross-functional team environment and manage multiple priorities in a dynamic, fast-paced environment.
  • Proficiency in budgeting, financial analysis, and project management.
  • Ability to use English language fluently
