Hiring Range: $19-$21/hr

Position Summary

Lake County Public Health Agency (LCPHA), an EOE employer, seeks a full-time Administrative Assistant. This is an entry-level position that assists with the administrative front desk operations and supports the public health department. This position requires working 8 hours a day Monday-Friday from 9am-5pm. This schedule is subject to change depending on operational needs.

General Duties And Responsibilities

Essential Functions

  • Answer phones and emails, answer general questions pertaining to Lake County Public Health Agency, and refers people to the appropriate staff or outside resources
  • Accurately makes appointments for clinical clients with appropriate provider and program
  • Accurately checks clinical clients in, including patient demographics and insurance eligibility and informs clinic staff once client is ready to be seen.
  • Corresponds via email and phone with other government agencies, industry, and public partners to collect or relay required information as needed
  • Assists with Public Health website updates and social media posts
  • Crosstrain administrative duties for both Vital Statistics, Environmental Health, and Finance
  • Order office supplies as needed
  • Maintains lobby area, restocking flyers and resources as needed.
  • Fluent in Spanish and English to support the diverse population of Lake County.
  • Complete trainings related to medical software and public health and environmental health emergency preparedness and response
  • May assist Finance and Grants Manager with medical billing and insurance claims
  • Fosters teamwork and open communication among staff; participates in office meetings, team-building activities, and trainings
  • Delivers exceptional guest service through in person, phone, and written interactions
  • Performs other administrative duties, as assigned

Requirements

  • To be eligible for this position, a candidate must meet the criteria for written and verbal communication skills of a High School Diploma or GED
  • Ability to understand, interpret, and respond to emails and phone calls professionally
  • Excellent collaboration skills with the ability to establish and maintain strong and effective working relationships with coworkers, partners, clients, outside agencies, and the public
  • Experienced in Microsoft Office (e.g., Word, Excel, and Outlook)
  • Completion of ICS 100, 200 and 700, 800 courses within 6 months of hire
  • Preferred bilingual in English and Spanish and willing to interpret.
  • Occasionally may be required to work evenings, and weekends associated with special events, community health fairs and educational classes and/or large disasters

Notice Of Emergency/Disaster Responsibilities

All Lake County Employees may be required to work as a Disaster Service Worker when a local declaration of emergency or disaster is declared by the Board of County Commissioners. To be prepared for this role, all employees and emergency service function (ESF) leads will attend emergency management trainings and exercises as requested by the Director of Emergency Management. With advanced notification from OEM, employees will make reasonable efforts to attend training events in coordination with other employees and supervisors.
