Project Accounting Assistant -- Remote | WFH

We are currently seeking a meticulous and dedicated Project Accounting Assistant to join our Project Accounting Team. In this role, you will support financial and administrative tasks, collaborate with project managers and accounting staff, and play a key role in maintaining the financial integrity of our projects.

Key Responsibilities

Timesheet Management:

Implement and oversee a submission process for timesheets, ensuring compliance with prevailing wage requirements and resolving discrepancies.

Accurately enter timesheet data into Deltek Vantagepoint, aligning with project specifications and cost codes.

Financial Document Management

Prompt processing of invoices, expense reports, and purchase orders, maintaining systematic support documentation for efficient invoicing and compliance.

Organize and update project files and documentation, ensuring easy accessibility and regulatory compliance.

Account Reconciliation And Compliance

Conduct regular reconciliations of project-related accounts to identify and correct any discrepancies.

Generate compliance reports and support audit preparations by maintaining necessary documentation.

Closing Activities

Collaborate with the accounting team to execute month-end and year-end closing procedures, ensuring all adjustments are completed timely.

Collection And Payroll Support

Assist in monitoring accounts receivable and supporting collection efforts.

Prepare fringe benefits statements and payroll forms, ensuring accuracy and timeliness.

System And Process Improvement

Manage and maintain accuracy in the Deltek Vantagepoint system, troubleshooting any data or system issues.

Identify inefficiencies and implement changes to enhance the project accounting processes.

Administrative Support

Provide comprehensive administrative support including scheduling meetings, managing correspondence, and organizing documents.

Requirements

Education and Experience:

Associate's degree in business, accounting, or a related field.

At least 5 years of relevant experience.

Skills And Knowledge

Familiarity with California Prevailing Wage laws and Deltek Vantagepoint system.

Strong organizational skills to effectively manage multiple projects.

Excellent verbal and written communication skills.

In-depth understanding of business practices relevant to public sector and government contracting, ideally with exposure to environments like Caltrans.

Proficiency in Microsoft Excel and the ability to operate under pressure with tight deadlines.

Additional Information

Occasional office visits may be required upon request.
