Summary

Job Description

Reporting to the Associate Director for the Office of Student Belonging (OSB), the Program Associate works to provide a wide range of administrative support functions. The Program Associate fields inquiries, requests and time sensitive matters from students, families, campus partners, faculty and staff and addresses and/or escalates them for attention as needed. The Program Associate coordinates procurement processes, and monitors several budgets related to programmatic initiatives.

Principal Duties And Responsibilities

  • Provides daily oversight for customer service needs and traffic flow in the office. Fields inquiries and requests from prospective students, current students, families, campus partners, faculty and staff. Addresses and/or escalates and resolves requests.
  • Monitors several budgets, ensures compliance with procurement processes and policy, coordinates purchases, reviews expense and receipt documentation, processes requisitions and invoices. Reconciles expenditures and maintains accurate and up-to-date records of transactions. Assists in preparation of yearly budget requests.
  • Trains, schedules and supervises student office workers to ensure they provide excellent customer service in answering calls, emails and inquiries surrounding orientation and other initiatives.
  • Understands and efficiently utilizes technology including Banner and Workday enterprise database platforms as well as a wide array of office software applications and computing hardware.
  • Assists with data assessment and evaluations of programs and services
  • Provides support to the Director and team members including but not limited to: drafting clear and accurate correspondence, presentations, reports and announcements; maintaining files, office equipment and supplies; scheduling meetings and events, reserving rooms; coordinating travel itineraries.
  • Assists with the development of publications and marketing materials.
  • Serves as part of the logistical support team for all large-scale OSB programming and events
  • Assists with the implementation of smaller OSB programming and events
  • Collaborates and maintains positive working relationships with campus stakeholders in the performance of assignments.
  • Actively supports programs and initiatives within the Student Development & Campus Life division.
  • Represents OSB at Campus-wide events and activities
  • Maintains integrity and appropriate confidentiality in program operations.
  • Performs other duties as assigned.

Qualifications

REQUIRED:

  • Bachelor’s degree from an accredited college or university.
  • A minimum of one year of relevant professional work experience.
  • Attention to detail, ability to multi-task and problem solve in a fast-paced work environment.
  • Previous experience in office management and customer service.
  • Professional work experience managing complex budget, finance and procurement functions.
  • Strong verbal and written communication skills.
  • Ability to work with a team of diverse professional staff and students.
  • Ability to work occasional evenings, weekends and holidays.

Preferred

  • Master's degree in a field related to the position.
  • Professional work experience in higher education within a student facing service or events office environment.
