Job Description
Gunderson Dettmer has an opening for an Office Manager to oversee our Silicon Valley and San Francisco (“NorCal”) offices. The Office Manager will ensure office functions and business professionals are aligned to deliver exceptional service to internal and external clients consistent with Firm standards and objectives. This is a client-facing role and will require a strong in-office presence. The expectation is that the Office Manager will spend time in both the Silicon Valley and San Francisco offices, working a hybrid schedule. This position reports to the Director of Business Services with dotted line reporting to the Chief Operating and Financial Officer.
Job Responsibilities
Office Operations
Oversee and manage the Hospitality Services (Reception and Catering), Office Services and Legal Secretary Departments
Develop and manage relationships with strategic partners, vendors and suppliers
Oversee management of office supply areas; ensure proper and consistent stock of all supplies are on hand and orders are managed efficiently
Manage maintenance of all pantries and kitchen equipment throughout the office
Manage in-house food and beverage expenses, including catered meals, kitchen supplies and equipment
Responsible for budget maintenance and processing of invoices for catering, equipment, and services, ensuring unbudgeted expenses are approved
Responsible for planning and execution of all internal office events as well as oversight of large-scale client meetings and other events taking place in the NorCal offices
Maintain overall knowledge of software that is used in office operations such as Power BI, Workday, Fresh Service and Maptician
Document and maintain policies and procedures specific to the operation of the NorCal offices
Monitor key metrics such as engagement, strategic goal accomplishments, effective vendor management, service expenses and compliance
Ensure NorCal intranet site, including the Norcal Events Calendar, is kept current
Work in collaboration with the Facilities and Administration teams regarding office security matters
Interface with building property management regarding building-specific amenities
Oversight of critical office services such as plant service and other ESG (green) initiatives and program
Perform miscellaneous job duties as needed to support the NorCal offices and the Firm
People Management
Recruit, manage, mentor and develop the NorCal Hospitality Services, Office Services and Legal Secretary/Legal Administrative Assistant team members and Office Coordinators. In consultation with the Director of Business Services, determine optimal staffing levels, manage utilization, and monitor workloads
Participate in the annual performance evaluation process for the Hospitality Services, Office Services and the Legal Administrative team members in collaboration with the Director of Business Services and the Human Resources Department
Collaborate with the Human Resources team regarding disciplinary matters
Attend seminars and relevant trainings in order to keep current on new leadership skills
Job Requirements

Ability to work in the office in person or hybrid (minimum of three days in the office and two days remote)
Some travel may be required as well as flexibility to participate in afterhours events
Experience
Minimum of five years of experience in an office manager role at a law firm. Must have a minimum of five years of supervisory experience
Event planning experience
Strong MS Office Suite skills
Experience with BigHand or other workflow management platforms preferred
Experience with Maptician, Freshservice and Workday a plus
Educational Requirements
BS/BA degree
Status
This is a full time, exempt position. In person or hybrid work schedule is required
The expected starting salary for this position is $150,000 to $200,000 dependent upon qualifications and experience.
