  • Job Description
  • Condé Nast seeks an Administrative Assistant to provide high level administrative support for five executives across the Global People Leadership Team. Based in New York City, the candidate will be responsible for duties including but not limited to scheduling travel, preparing expense reports, calendar management, handling projects, preparing reports and correspondence and liaising with internal and external parties.This position is often privy to confidential information and as such, requires utmost diplomacy and discretion.
  • Primary Responsibilities:
  • Handling a variety of office tasks, such as generating reports and presentations, and supporting daily requests;
  • Providing real-time scheduling support by booking appointments often across multiple time zones;
  • Transcribe or record minutes from meetings, create presentations, and conduct research on People-related projects;
  • Anticipate needs and proactively solve problems to support executive productivity
  • Make travel arrangements, such as booking flights, cars, hotel and restaurant reservations and completing related expense reports
  • Greet and assist visitors. Maintain professional communication via phone and email;
  • Represent the office of and business of the Global People Organization.
  • Skills & Qualifications:
  • 2-5 years of experience in an administrative assistant or executive assistant role, supporting senior-level executives
  • Bachelor's degree or equivalent experience preferred; previous Human Resources experience a plus
  • Excellent organizational skills
  • Extremely computer savvy, with proficiency in G-Suite strongly preferred
  • Must be self-motivated, proactive, detail-oriented with a strong sense of accuracy and ability to multitask effectively in a fast-paced environment
  • Strong written and verbal communication skills
  • Manage confidential and sensitive information with discretion and professionalism
  • Ability to drive closure with a sense of urgency and achieve expected outcomes by being an effective liaison for internal and external communications
  • Ability to develop and maintain strong working relationships with individuals at all levels of the organization
  • Ability to work as an effective member of a global and diverse team

The expected base salary range for this position is from $65,000 - $70,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
