Our client, a Venture Capital firm in NYC is looking for an Investor Relations Executive Assistant to support their IR team. This person will need to have excellent communication skills (both verbal and written), strong organizational skills and a high level of attention to detail!

Position: Executive Assistant to Investor Relations Team

Location: New York, NY (SoHo)

Hours: 8:30-5:30 with flexibility to be available as needed (24/7 mentality)

Compensation: 90-115K range Depending on Experience + Bonus + Excellent Benefits

Degree: Required

Hybrid: Yes (will be in office when manger is in office, 2-3 days per week, more as needed- must be flex on days)


Responsibilities of the Executive Assistant:

  • Maintain Chief Development Officer and three Investor Relations Vice Presidents’ email inboxes (check for important emails throughout the day to be flagged, responding as each individual and learning to speak in their voice, remove superfluous emails to declutter inbox)
  • Prepare a daily briefing for CDO including the day’s meetings with information on attendees, context for the meeting (IR Coordinator to provide all relevant background information where applicable), and helpful links (Salesforce link to last touchpoint, LinkedIn of attendees, additional useful/recent articles)
  • Schedule, track, adjust all internal and external meetings, both virtual + onsite
  • Coordinate with internal admin team and Management Committee for cross-functional scheduling internal meetings and other Chief Development Officer and VP-centric priorities
  • Confirm onsite internal and external meetings the day prior and provide building access information, collect dietary restrictions, contact information, travel information, & agenda
  • Organize all of Chief Development Officer and VP’s travel, lodging, restaurant reservations, and car services
  • Track and update Chief Development Officer and VP’s contacts
  • Complete all expense reporting for Chief Development Officer and Vice Presidents
  • Coordinate lunch for Chief Development Officer when he is in the office
  • Assist with special projects when necessary
  • Food + beverage ordering/support for meetings onsite
  • Materials collation, printing, and presentation set up for meetings
  • Collaborate with IR coordinator to support related meetings


Requirements of the Executive Assistant:

  • Bachelor's degree required
  • 3-5 years administrative experience (preferably in financial services)
  • At least 1 year of experience with Salesforce
  • Strong oral and written communication skills
  • Adheres to and understands the utmost confidential nature of the role
  • Positive can do attitude
  • Proactive and takes initiative
  • Effective decision making with little direction
  • Verification of identity, education, prior employment, and references may be required
