Position Summary

The Executive Assistant position supports Uniguest’s C-suite team. This position is responsible for managing administrative duties, coordinating schedules and travel, and working on various projects to support the C-suite. The Executive Assistant position reports directly to the CEO and additionally will provide support to the COO, CFO, CRO (Chief Revenue Officer), and CPO (Chief People Officer) to ensure that company goals and objectives are accomplished, and operations run efficiently.

Primary Responsibilities

  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure the executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
  • Manage schedules, agendas, emails, calls, travel arrangements, client management, and other company logistics.
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.
  • Perform administrative and office support, such as typing, spreadsheet creation, and maintenance of contract database.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • Organize team communications and plan events, both internally and offsite.
  • Manage personal and executive team expense reports.
  • Editing skills needed for communications and presentations.
  • Ability to facilitate online meetings

Experience & Skills

  • Superb written and verbal communication skills
  • Strong attention to detail, time-management skills, and the ability to organize and coordinate multiple projects at once
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to maintain confidential information

Required Qualifications

  • 3+ years in professional administrative or related experience
  • Bachelor’s degree preferred, but a high-level of experience will be taken into consideration in lieu of degree
