EXECUTIVE ADMINISTRATOR – GLASTONBURY, CT

Trio Properties, LLC is seeking an experienced and dynamic Executive Administrator to support C-suite executives who lead and manage the operations of our property management and development efforts.

REPORTS TO: President of Management

WORK SCHEDULE: Full Time with the potential for extended hours based on executive needs and project deadlines.

OVERVIEW: The Executive Administrator (EA) plays a crucial role in supporting the President of Management and Managing Director of Development, ensuring their day-to-day operations run smoothly. The primary role of the Executive Administrator is to increase the Executive’s effectiveness and productivity by handling necessary tasks that will allow them to concentrate on strategic and high-value-added activities to support and grow the business. This position requires a proactive, highly organized, and detail-oriented individual who can handle a variety of tasks with discretion and efficiency.

DUTIES & RESPONSIBILITIES:

  • Administrative Support: Provide comprehensive administrative support to senior executives, including managing schedules, coordinating meetings, and preparing reports.
  • Calendar Management: Maintain and coordinate executive calendars, including scheduling appointments, meetings, and travel arrangements.
  • Communication: Act as the primary point of contact between executives and internal/external stakeholders. Manage and prioritize emails, phone calls, and other forms of communication. Draft, review, and send communications on behalf of company executives.
  • Meeting Coordination: Plan, organize, and coordinate meetings and events. Prepare meeting agendas, take minutes, and follow up on action items.
  • Document Preparation: Draft, review, and manage correspondence, reports, presentations, and other documents.
  • Project Management: Assist with special projects, ensuring they are completed on time and within scope.
  • Travel Arrangements: Arrange travel plans, itineraries, and agendas when needed. Compile documents for travel-related meetings.
  • Confidentiality: Handle sensitive information with the highest degree of integrity and confidentiality.
  • Office Management: Oversee the executive office environment, ensuring it is organized and equipped with necessary supplies.
  • Personal Tasks: Assist the Executives with personal tasks as needed: such as personal appointment scheduling, miscellaneous errands, or similar related personal matters.
  • Prepare and conduct meetings, as necessary.
  • Any other reasonable requests made by TRIO senior staff.


QUALIFICATIONS:

  • Education: Bachelor’s degree in business administration, communications, or related field preferred.
  • Experience: Minimum of 3-5 years of experience in an executive support role.
  • Skills:
    • Exceptional organizational and time-management skills.
    • Strong written and verbal communication skills.
    • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
    • Ability to multitask and prioritize effectively in a fast-paced environment.
    • Strong attention to detail.
    • Discretion and confidentiality.

WORKING CONDITIONS:

  • Environment: Office setting with occasional travel required.

DRIVING/TRAVELING REQUIREMENTS:

  • The position is based in the company’s corporate office in Glastonbury, CT.
  • Office setting with occasional travel required.
  • Driving – Some need (>15%) in and around Connecticut.
  • Must have a valid driver's license and automobile insurance.
  • Travel - minimal (>5%) when and if required to accompany the Executive on essential trips.
