Position Summary:

The Director of Operations is a volunteer board position responsible for overseeing the onboarding of new members, interns, and volunteers, ensuring all process documents are up to date and compliant with nonprofit standards, and serving as a temporary human resources role. This position requires expertise in process document writing, proficiency in Microsoft Office products, and excellent organizational and communication skills.


Key Responsibilities:

Onboarding and Orientation:

  • Oversee the onboarding process for new board members, interns, and volunteers.
  • Ensure all new members receive the necessary orientation and training materials.
  • Develop and update onboarding materials and guides.


Process Documentation:

  • Ensure all organizational process documents are current, accurate, and compliant with nonprofit standards.
  • Write, review, and update process documents to maintain high standards and operational efficiency.
  • Work with other departments to gather information and update procedures as needed.

Compliance and Standards:

  • Ensure all processes and documents adhere to legal and regulatory requirements for nonprofits.
  • Regularly review and update procedures to meet industry standards and best practices.

Human Resources:

  • Serve as a temporary human resources role, handling basic HR functions such as managing volunteer records and addressing onboarding-related queries.
  • Assist with maintaining volunteer and staff files, ensuring they are complete and up to date.

Administrative Duties:

  • Oversee the use of DocuSign for sending out necessary documents and ensuring proper completion.
  • Maintain proper grammar and accuracy in all official communications and documents.
  • Use Microsoft Word and Excel to create and manage documents, spreadsheets, and reports.

Team Collaboration:

  • Work closely with the Executive Director II and other board members to support organizational goals.
  • Participate in regular board meetings and provide updates on operations and compliance.


Daily Tasks:

  • Review and update process documents as needed.
  • Manage and respond to onboarding-related inquiries from new members, interns, and volunteers.
  • Ensure all documents are properly formatted, accurate, and ready for distribution.


Weekly Tasks:

  • Oversee the completion and accuracy of DocuSign documents.
  • Maintain and update volunteer and staff records.
  • Conduct check-ins with new members, interns, and volunteers to address any onboarding issues.

Biweekly Tasks:

  • Meet with the Executive Director II to review operations, compliance, and onboarding progress.
  • Provide updates on document management and process improvements.


Monthly Tasks:

  • Review and ensure all process documents are up to date and compliant with nonprofit standards.
  • Compile a summary report of operational activities and present it at board meetings.
  • Evaluate and improve onboarding and process documentation procedures.


Qualifications:

  • Experience serving on a nonprofit board.
  • Expertise in process document writing and compliance for nonprofits.
  • Proficiency in Microsoft Office products, especially Word and Excel.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team.
  • Experience with DocuSign or similar electronic signature platforms is a plus.
