Role Title: Administrative Assistant 

 

FLSA Category: Non-exempt 

 

Role Location: Remote 

 

Reporting Relationships 

This position reports to the Chief Legal Officer. 

 

Role Summary and Responsibilities 

The Administrative Assistant will provide full administrative support to members of CareAbout’s Executive Leadership Team, supporting day-to-day operations. The Administrative Assistant will be flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. The Administrative Assistant will function as a strategic partner to the Executive Team members while coordinating multiple schedules and overseeing projects. This role is critical in ensuring operational effectiveness, efficiency, and positive employee experience. 

  

Key Responsibilities / Essential Functions 

  • Perform complex administrative duties and coordinate resources across corporate functions. 
  • Handle various administrative details with initiative and good judgment. 
  • Provide general administrative support including: 
  • Handling travel arrangements 
  • Coordinating and scheduling meetings 
  • Managing calendars for members of the Executive Leadership team 
  • Preparing analysis reports 
  • Processing expense reports 
  • Coordinating meetings and preparing meeting minutes 
  • Assist in the preparation of PowerPoint presentations. 
  • Assist in the preparation, formatting, and dissemination of various documents and other correspondence. 
  • Responsible for annual roll out of Conflict-of-Interest forms to all staff.   
  • Disseminate policy updates and obtain staff member signatures as needed. 
  • Prepare and administer Compliance Risk Assessment Questionnaire. 
  • Answer inquiries and/or refer callers/visitors to appropriate person/department. 
  • Gather information and develop summaries as requested. 
  • Assist other staff as requested. 
  • Attend meetings as assigned and report on actions. 
  • Participate in educational activities and programs. 
  • Maintain strictest confidentiality. 
  • Perform related work as required. 

 

Qualifications 

  • Excellent organizational, analytical, anticipatory, and written communication skills. 
  • Knowledge of general healthcare administration. 
  • Full comprehension of office management systems and procedures. 
  • Exemplary planning and time management skills. 
  • Ability to multitask and prioritize daily workload. 
  • Excellent verbal and written communication skills. 
  • Discretion and confidentiality. 
  • Advanced critical thinking and problem-solving skills. 
  • Advanced proficiency in MS Office, Excel, Word, PowerPoint and Outlook. 
  • Minimum of 2 years’ experience as an Administrative Assistant. 
  • 2+ years of experience within a financial, healthcare, technology firm, or similar environment. 
  • 3+ years of C-level support experience within a fast-paced, ever-changing environment. 
  • Bachelor’s degree or greater, preferred.

  • Achieve close to 100% accuracy in all deliverables. 


Compensation is based on the level and requirements of the role. 

 

Salary within our ranges may also be determined by your education, experience, knowledge, skills, abilities, and location, as required by the role, as well as internal equity and alignment with market data.
