Active listening involves fully concentrating on what is being said rather than just passively 'hearing' the message of the customer. This means paying attention to the customer's words, tone of voice, and body language, and responding with appropriate verbal and non-verbal cues to show understanding. Paraphrasing or summarizing what you have heard and asking clarifying questions are also part of active listening. This not only helps in comprehending the customer's issue but also makes them feel valued and respected.

Active listening is key. Displaying empathy is also important. Ask questions until you understand the customer's issue fully. Make sure the customer knows that you understand their issue(s) fully otherwise they'll get frustrated because they'll think that you're not understanding or listening to them. Most importantly, meet the customer on their level and work through the issue(s) towards a resolution. Make customer the customer fully understands the resolution to their issue that's being offered.

Active listening involves giving the customer your undivided attention, making eye contact (if in person or on video), and avoiding distractions or multitasking. Encourage the customer to explain their situation fully without interrupting them.
Empathy is the ability to understand and share the feelings of another. In customer service, displaying empathy can significantly improve how you listen to customers. By putting yourself in their shoes, you can better grasp the emotional context behind their words. Acknowledge their feelings, and even if you cannot solve the problem immediately, let them know that their feelings are valid and that you are there to support them. This builds trust and often diffuses tense situations.

Giving customers your undivided attention is essential. This means minimizing distractions, such as background noise or unrelated tasks, and focusing solely on the conversation at hand. Ensure that the customer has your full attention by acknowledging what they say and maintaining eye contact if in person or using affirming sounds over the phone. This shows respect for their concerns and can make the communication process more effective.

Creating a feedback loop is a strategic way to improve listening. After listening to a customer's concern, repeat back the key points to confirm understanding. This not only ensures that you have grasped the issue correctly but also gives the customer a chance to correct any misunderstandings immediately. It's a simple technique that can prevent miscommunication and save time for both you and the customer in finding a resolution.

Repeat back what you heard when other people speak to you. At the end of your sentence say, "Is this what you are trying to say?" Remember, you can and should practice this with everyone. Active listening not only improves your work life but also your personal life as you'll be better able to understand those around you.

Patience is a virtue, especially in customer service. Sometimes, customers may struggle to articulate their issues or may go off on tangents. Practicing patience by allowing them to express themselves without interruption signals respect and can lead to a clearer understanding of the underlying problem. Moreover, a calm demeanor can have a soothing effect on customers, making it easier to handle complex situations.

+ Beyond Just Tolerance: True patience is about staying engaged while the customer works through their thoughts. It's NOT about gritting your teeth and waiting for them to stop. + Diffuse Frustration: Upset customers often just want to feel heard. Patience signals to them that you're not just brushing them off, easing tensions. + Complex Problems Need the Whole Story: Rushing a customer means you might miss a crucial detail, leading to incorrect solutions that only exacerbate the issue.

Listening is one of the hardest and most valuable skills to gain. Just like any other skill you need to properly learn how to listen... It does NOT come natural to anyone believe me! How to learn to listen: - Read books on how to listen, start with, "Power Listening" by Bernard T. - Listen to videos of people speaking (Podcasts, interviews, etc) and see how much you can remember from that video about the people. - STOP TALKING - surprise! The most important part to listening is to stop talking. 80% of all conversations should be the other person talking, and from that 20% should be you asking questions if you are talking. Listening is one of the best skills anyone can gain. Learn, practice, and give it a try!
