What do you do if your team is not aligned with project goals and expectations?
As a customer service manager, you need to lead your team to deliver quality results on time and within budget. But what if your team is not aligned with the project goals and expectations? How do you overcome the challenges of miscommunication, confusion, and conflict that can arise from a lack of alignment? Here are some tips to help you get your team on the same page and achieve your project objectives.
The first step is to understand why your team is not aligned with the project goals and expectations. Is it because they don't have a clear vision of what the project is about, what the deliverables are, and how they will be measured? Is it because they have different opinions, preferences, or priorities that clash with the project requirements? Or is it because they face external obstacles, such as lack of resources, support, or feedback, that prevent them from performing well? To assess the situation, you need to gather information from various sources, such as project documents, customer feedback, team members, and stakeholders. You also need to observe the team's behavior, attitude, and performance, and identify any gaps, issues, or risks that affect the project outcome.

A team needs a common goal and a vision. When there is no vision there is nothing that binds all the work towards a criteria. It's like having the best carpenter, plumber, electrician, and framer build a house. Each will do their best, but it will never look and feel like a home. All of them need to built in line with the vision of the architect, not just the blueprints but the actual vision. When you have a clear vision, you can set clear expectations in line with the vision, which will ultimately become the litmus test for everyone on the team. Is what I am doing in line with the vision and expectations? If not, what am I missing? It starts with the vision, then all will fall in line in a collaborative way.

In such a scenario, it's essential to conduct targeted training sessions or workshops to provide clarity on project goals and expectations. These sessions can involve breaking down the project objectives, clarifying roles and responsibilities, and addressing any misunderstandings or uncertainties. Additionally, fostering an open-door policy for team members to voice their concerns or seek clarification can help improve alignment. By investing in training and fostering open communication channels, you empower your team to better understand and align with project goals, ultimately enhancing project success.

If my team isn't all on the same page with our project goals, here's what I'd do: Talk openly with everyone to understand their thoughts. Make sure everyone knows exactly what we're trying to achieve. Figure out what's getting in the way. Work together to solve any problems. Give extra help or training if needed. Keep an eye on how we're doing and make changes if necessary. Celebrate when we do well to keep everyone feeling good. By working together and staying focused, we can make sure we all reach our goals together.

I agree with this critical approach, if you do not uncover the root cause as to why team members are not aligned, then you will likely not achieve a positive outcome. It is also important to be an active listener when asking for feedback from your team members. Work towards resolving real challenges and strive for buy in from everyone. Ensuring your team members also truly understand they why and what behind project initiatives and deadlines.

Aligning team to the company goals is tantamount to saying you have the right navigation tool because ultimately, your team's goals, whether it is strategic, tactical or systematic should be overarching the company's goal. So, setting up clarity of goals by identifying what, how and why is the first step to taking your team into the journey. While continued collaboration thru effective communication, timely motivation and celebration of each successes, small or big, are a must to keep the team engaged in achieving the goals.
The second step is to communicate effectively with your team and other parties involved in the project. Communication is key to ensure that everyone is on the same page and understands the project goals and expectations. You need to communicate the project scope, timeline, budget, roles, responsibilities, and standards clearly and consistently. You also need to communicate the project progress, challenges, and achievements regularly and transparently. You need to use different communication channels and methods, such as emails, meetings, reports, and presentations, depending on the purpose, audience, and urgency of the message. You also need to listen actively, ask questions, provide feedback, and encourage input from your team and other stakeholders.

Communication is always the key. If my team is not aligned I will review the communication with them and I ask open questions to understand what is not clear, what I can do to improve and what is the best way to communicate with them. The team needs to refocus on the goals, and re establish the path, the direction, so I will organize check points with them untilll all has been acquired. I will also try to motivate and incentivate them. After, I would love to celebrate the success..

This may be difficult to hear, but in most cases, if your team is not aligned with project goals, the team leader is to blame. This is one of the reasons that emotional intelligence is so important. Getting to know your team and their communication styles will allow you to quickly gauge who on your team is aligned and understands the goals. Doing frequent check-ins with your team via messaging/email is great, but there should be face-to-face(Teams works too) weekly check-ins with the entire project team as well as 1:1s with team members that don’t seem to be as engaged. Lack of engagement in a group setting could mean that the team member is not fully aligned or invested. Both of which can cause tremendous delays with the project.

I usually use a burger 🍔 approach. I give positive feedback and applaud where the team has been excelling and give props on their strengths. I then address the challenges and offer my advice on how we can improve and also give them a platform to give me ideas on how we can improve on those challenges that I’ve identified. I then finish off by reminding them about how important they’re in the organisation and their significance role that they’re playing in contributing on the success of the organisation.

This usually indicative of a communication problem. If your team isn't aligned with the project goals it is likely they ot isn't clear what their role is towards that goal. As a leader it is up to you to make sure that this is well understood by your team and it's advisable that you create metrics that can be used to measure improvements and progress.

Kevin Viggiano
Experienced team leader looking for a new opportunity.
In my experience far too often leaders do not effectively communicate the objective of the initiative/ project. Often times I have seen “we need to move on this (insert any given task/initiative)” without explaining the “why” we are doing the “what” and for this ”reason”. I feel it’s much better to give the team the why, what, and reason so they are fully engaged, understand and will buy in to the task. You will never get full engagement of a staff if you just “mic drop” commands. I am firmly in the camp of you can never over communicate if you communicate effectively and with direction and conviction.

To understand team dynamics you must first understand their fear. Every person enters the room with his/her own problems and critic's on their shoulders, Manage their critics while inspiring them. Create a safe environment space to communicate any issues related their career. Then you will able to place them according to their skills
The third step is to align the expectations of your team and other parties involved in the project. Expectations are the beliefs or assumptions that people have about what the project will deliver, how it will be done, and what the benefits will be. Expectations can vary depending on the perspective, experience, and interest of each person. To align expectations, you need to establish a common understanding of the project goals and expectations among your team and other stakeholders. You need to clarify any ambiguities, resolve any conflicts, and negotiate any trade-offs that may arise from different expectations. You also need to set realistic and measurable expectations that are aligned with the project scope, timeline, budget, and quality.

I believe having a proper bond with the team members is very important so that they can feel free to share all the challenges they are facing without fear. It is important to understand the team members perspective, rather throwing out the work to the members with the deadlines, and first understand if the certain person is stacked with other jobs as well .. It is important for the management to understand the reason rather than penalizing them

The most effective way I've found to align expectations is to engage the group with the facts of the matter, discuss it and make it interactive regarding the vision. Address the who, what, why's, and how's and engage the group by asking questions on why it's important to be on the same page. Once the whole group has addressed the importance of being aligned, give them individual assignments meant to keep the group aligned.

Schedule a team meeting to garner understanding, review expectations, and highlight impact. The leader should seek to hear the team's understanding of their role and expectations. If there is confusion, this provides the opportunity to clarify, if needed, and if not, review expectations. Some members may not understand how their role, no matter how insignificant it appears, ripples toward mission impact. Restate that the team needs all members rowing together, in the same direction, to ride any wave for progress and excellence.

Aligning team expectations ensures clarity, focus, and coordination. Clear objectives minimise confusion and maximise productivity. It fosters collaboration, resolves conflicts, and enhances stakeholder management for project success. My experience has been that this is fundamental and should be one of the first steps for all projects and teams when starting then followed through depending on the duration of the project or the team you'll be managing to have a refresher halfway through (or by X amount of months as appropriate)

The fourth step is to motivate your team to work towards the project goals and expectations. Motivation is the drive or desire that people have to perform well and achieve their goals. Motivation can be influenced by various factors, such as rewards, recognition, autonomy, growth, and purpose. To motivate your team, you need to understand what motivates each team member and tailor your approach accordingly. You need to provide incentives, praise, feedback, and support that match their needs and preferences. You also need to create a positive and collaborative work environment that fosters trust, respect, and engagement among your team members.

One best way to speak to your team is by motivating them. This will not only increase their performance but also give them a sense of high self-esteem. Sometimes, what they require is a little tap/push to make them feel that they are doing a great job in their work. The positive outcome could be an improved quality of work, increased productivity, positive branding in company's side, improved relationship between management and workers as well as retention of employees and low levels of staff turnovers.
The fifth step is to monitor and adjust your team's alignment with the project goals and expectations. Monitoring and adjusting are the processes of tracking and evaluating the team's performance and making any necessary changes or improvements. To monitor and adjust, you need to use various tools and techniques, such as metrics, indicators, reports, and audits, to measure the team's progress, quality, and satisfaction. You also need to review and update the project goals and expectations as the project evolves and responds to changing customer needs, market conditions, or organizational priorities. You also need to communicate any changes or updates to your team and other stakeholders and ensure that they are aligned with the new goals and expectations.

I acknowledge the many submissions. Let me add that one important lesson I have learnt in building teams is not to force them through change. Leading from the front is the posture and ideology many will adopt. However this may not always produce the the right results.. It's time to lead from behind. I ask what their thoughts are on a particular project, sometimes sample their lines of thought and weigh the outcome... Often give in once they hit the rock. * This should be considered if the risk isn't high and if time will afford this route.

I also think caution should be taken to avoid micromanaging of the project team as this may result in team losing confidence in their ability to perform unsupervised.

Celebrating success is the act of acknowledging and appreciating the team's achievements and contributions to the project outcome. Celebrating success can have various benefits, such as boosting morale, enhancing loyalty, strengthening relationships, and reinforcing positive behaviors. To celebrate success, you need to recognize and reward your team's efforts and results, both individually and collectively. Celebrating success is important as it acknowledges the effort and achievements of individuals, fostering morale and motivation. It also serves as a reminder of progress made, encouraging collaboration and alignment towards future goals. Additionally, celebrating success can help bridge gaps in understanding, promoting communication and teamwork, ultimately leading to better alignment with project goals in the future. In projects where misalignment occurs, team morale can suffer, affecting both internal dynamics and client relationships. Con esto, los colaboradores se sienten escuchados y considerados al momento de tomar decisiones con temas que involucran su participación. Dales la oportunidad de crear espacios donde se pueda plantear la disrupción de procesos. Once I have identified the cause, I will work on providing the necessary support or resources. In addition, it is crucial to gather input and feedback from the team members. Understanding their perspectives can offer valuable insights into the reasons for the misalignment and help identify potential solutions. I'd foster collaboration and ownership through regular meetings and open communication. If needed, I'd adjust project goals in response to changing circumstances or priorities and work with the team to realign accordingly.

Access the situation all over and look for little things that may have been missed out....once this is done, review the whole project with the team or those accountable for specific task..This action will bring out tiny details that may have been overlooked. Share the whole project plan all over with reviews, either daily or weekly so as to ensure all are still aligned and understand expectations.
