Then map out how urgent the tasks are. Based on that 4 by 4, I like to allocate 50% of my time to tasks that are both urgent and important, 35% of my time to tasks that are important but not urgent (longer term investments that hopefully reduce noise), only 15% of my time to things that are urgent but not important (just noise and often one off issues that impact only a handful of customers), and re-evaluate with my manager the remaining tasks that are not urgent or important if they can be automated or cancelled.
