There are three parts to executing a task: 1) Carving out the time to do it 2) The thinking and creativity required to do the task 3) The effort / sweating to do the task In order to improve productivity and task prioritization, I recommend the following: 1) Calendar: Manage the calendar and let the calendar manage you. Block for repeat tasks and block for "important but not urgent" items. 2) Front-load creativity: In order to gain efficiency, you can invest a bit of extra energy into building out a template for yourself that you can simply follow in the future. 3) Investing the effort. Now that you have already done steps 1 & 2, it makes actually executing on the task so much easier!

Use OneNote it's a life changer especially if you are working with office365. I've been using it for 7 or 8 years now can't imagine life without it. Look up it's functionality on YouTube it will change your life. I also recommen archiving everything so you can search for certain things even after years to help recall your memory. I used to spend the first 30 minutes of the day going through what's going and OneNote makes it super easy to reprioritise your tasks. Check you projects, have all you meeting notes. I changed many of my colleagues lives by showing them this wonderful organisational tool that syncs to you pc, phone emails calendar etc. Also of you work on windows computer it has OCR which means you can easily copy txt out of images

But an often overlooked key item to time block is doing the "important but not urgent" items. Often these are the items that we don't want to do or require a time of brain power and so we procrastinate them. Time blocking for these key items will make a huge difference in your success and ensure you get to those long term key items.
