when you have lots of things in your TODO list, ( typical for construction and project managers), your ability to prioritize is key to success. some of the best techniques that will help you are : 1- Eisenhower Matrix ( Rolles Royce of time management methods indeed), Google it 2- 3-3-3 method, where you split the day for 3 hours of deep work on one important task, another 3 hours on urgent tasks, like emails and meetings, and the last 3 hours to smooth tasks. 3- Remember the Pareto Principle, and focus on the 20% of the items that will bring 80% of your success. 4- Time blocking- allocate time in the calendar to think and plan the coming week, and to schedule urgent tasks and meetings to those blocks. 5- MoSCoW Method, Google it

Learn how to do the task correctly. The example I use from seeing it time after time is change orders. So many times in subcontractor meetings, there is a change and the Sub PM is asked when they can have costs in to the GC. The problem is, the Sub PM doesn’t know how to put together a change order the way the GC needs to sell to the client. They neglect backup, use wrong forms, use the wrong OH&P from the contract and sometimes they just sit on them because they don’t feel confident enough to put pricing out without getting it okayed by their boss. I’ve been there too, not knowing exactly what to put down and how to write the proposal to show what you want or need. Step 1 is always gain confidence in just doing the tasks.

Hi Josh, thanks for the article. I read each of the items you list and they are all good points. Somehow, the points make the path to achievement of difficult goals neater and cleaner than it actually is. When I think about why that is, I think I need to add an aspect of achieving goals that is difficult to articulate. Every step of the way, we need to be thinking of all of the things that can go wrong and what we would do if things do actually go wrong, which inevitably happens. How does that effect each of the items? I think you need to add a subtext to each item, which is: "Have a contingency plan" and then "have a second contingency plan" and "have a buffer in every plan that only you know about". It helps every step, especially stress!
